LP clinic — Centenary. Referrals to the LP clinic are limited to providers who participate in covering it. The clinic runs roughly every 6 weeks, one morning during a participating provider's Centenary call week, on their preferred day (if that morning collides with their EMG clinic, EMG wins and the LP clinic shifts to the next available day). No clinics on Ontario statutory holidays or the August Civic Holiday.

In-office teaching schedule. Visible only to providers in the teaching group (and admins). Providers list the clinics they're willing to open to a medical learner (morning / afternoon, with the clinic name); the admin enters the learner's restrictions (longitudinal clinic, academic half-day, post-call days) before generating. Provider vacations and on-call weeks close their office clinic automatically; prioritized clinics (★) are honoured first and the rest is distributed as evenly as possible. If a vacation is added after generating, the affected half-day is flagged for manual reassignment. No clinics on Ontario statutory holidays or the August Civic Holiday.

Learner schedule

Everything the scheduler knows about one provider. Away dates decide which shifts auto-fill can give; preferences steer it but never outrank fairness of totals. Away dates matter most — enter them by their real dates, since a Saturday-only absence blocks the weekend shift but not the week before it. Two-site weekday coverage

A weekend attached to a call week counts as one continuous block for everyone (weekend runs Fri 5:00 PM – Mon 8:00 AM) — that pairing is never flagged as back-to-back or two-calls-in-one-week. Choosing a weekend timing tells auto-fill to try to build that block for you. If you turn on two-site coverage, auto-fill may assign you both of your chosen sites in the same call week — that counts as one week toward your weekday totals and annual cap (each site is still shown in its own tally column). Preferences are not guarantees — fairness of totals comes first.

Away / unavailable dates

Add the dates you're unavailable for call. The scheduler sees these while building, and auto-fill skips you on the shifts your dates actually touch: weekday shifts run Mon 8:00 AM – Fri 5:00 PM and weekend shifts Fri 5:00 PM – Mon 8:00 AM, so e.g. a Saturday-only away date blocks the weekend, not the week before it.

Accounts, roles and caps. Deactivate rather than delete — an inactive account cannot sign in and is skipped by auto-fill and availability rounds, while its schedule history stays intact. Each schedule has its own cc list. Recipients get a master copy when that schedule is published, and a cc on approved swaps and reassignments. One email per line (or comma-separated). Visible to site admins only.

Availability requests. Before a scheduling round, email every active provider asking them to update the information the generator depends on: away / vacation dates for everyone, plus teaching clinic availability (including the ★ prioritized clinic for a learner) and LP clinic availability for providers who participate in those schedules. Each provider's email only contains the sections that apply to them. Responses are tracked below — providers confirm in the app, and outstanding providers can be re-sent a reminder.
